OFFICE ADMINISTRATOR

Summary of main duties:
To provide day-to-day central office services and administrative support.

This will include:

  • Ensuring that the office and telephones are managed 9.00 am and 5.30 pm Monday to Friday.
  • Ensuring that all post is opened and distributed in a timely manner.
  • Managing stock control and ordering of supplies, including stationery, office sundries, stamps, kitchen supplies and office furniture.
  • Ensuring that the office space is well maintained.
  • Administering travel and hotel arrangements for staff members.
  • Managing the budget for routine stationery and office supplies ensuring that Paper Dove achieves value for money on these purchases, and on travel and hotel bookings.
  • Developing and overseeing the central filing system.
  • Ensuring that all office equipment is in working order at all times.
  • Managing petty cash and banking.
  • Providing support to customer services manager.
  • Setting up and completing spreadsheets with high levels of accuracy.
  • Managing insurance policies and office paper work.


PERSONAL SPECIFICATION

Essential Criteria:

  • Excellent Customer Service Skills
  • Experience of Microsoft Office software.
  • Good IT skills.
  • An ability to use different types of computer software for a variety of tasks.
  • A high level of accuracy particularly when inputting and managing spreadsheet data.
  • Good problem solving skills.
  • An ability to prioritise, plan and organise work whilst in a busy environment.
  • Enthusiastic, with a commitment to providing a high quality service.
  • Good Communication and Interpersonal Skills.
  • An ability to dealing appropriately with sensitive or difficult situations with clients/customers or members of the public.
  • An ability to use advanced functions of word-processing software to produce well-presented, clear, grammatically correct documents.
  • Developing and maintaining effective office systems and procedures.
  • Good Motivational skills.
  • High levels of accuracy.
  • Numeracy and literacy competence.
  • Must have full, clean driving license and access to own vehicle.

Desirable Criteria:

  • Educated to a minimum A level standard or equivalent.
  • Minimum of 1 year experience of working in an office environment.

Salary

  • £12-15k depending on experience
